Overview

Provides administrative and coordination support for employee engagement, recognition programs, internal communications, onboarding activities, and special projects. This role serves as a key contributor to creating a positive employee experience through the planning and execution of engagement initiatives, recognition programs, meetings, and events while supporting departmental operations and organizational communication efforts.

Responsibilities

  • Coordinates employee engagement programs and events by planning, organizing, and supporting company-sponsored activities, recognition initiatives, meetings, and special events that enhance the employee experience
  • Administers employee recognition programs by managing reports, coordinating vendor services, preparing communications, and ensuring timely recognition of employee achievements, promotions, and service milestones
  • Provides onboarding and orientation support by coordinating logistics, preparing materials, collecting required documentation, assisting facilitators, and creating a welcoming experience for new employees
  • Develops and distributes employee communications including announcements, recognition communications, event promotions, surveys, presentation materials, and other internal communications that support organizational engagement
  • Coordinates meeting and presentation logistics for employee engagement, leadership, executive, and departmental meetings by scheduling resources, preparing materials, coordinating vendors, and supporting meeting execution
  • Monitors employee feedback channels and engagement insights by reviewing employee feedback, identifying trends, and escalating concerns or opportunities to leadership for follow-up
  • Manages vendor relationships and departmental financial activities by processing purchase requisitions and purchase orders, reconciling invoices, monitoring budgets, and supporting timely vendor payments
  • Provides administrative support for employee engagement and human resources initiatives by maintaining records, coordinating supplies and shipments, responding to employee inquiries, and supporting special projects and organizational initiatives
  • Supports human resources documentation and compliance activities by maintaining policies, procedures, job descriptions, and other departmental records within designated document management systems
  • Assists with executive and strategic projects by coordinating logistics, preparing materials, supporting meetings, and maintaining confidentiality while contributing to organizational priorities and business objectives.

EDUCATION AND/OR EXPERIENCE:  

Associate degree in Business Administration, Communications, Hospitality Management, Event Planning, Human Resources, or a related field and two (2) years of experience in event planning, employee engagement, hospitality, communications, marketing, administrative support, or related experience; or equivalent combination of education, training and/or experience.

  

CERTIFICATES, LICENSES, REGISTRATIONS AND DESIGNATIONS:  

None.

 

KNOWLEDGE, SKILLS AND ABILITIES:  

  • Skill in event planning, event management, and project coordination
  • Skill in organizing and managing multiple events, priorities, and deadlines simultaneously
  • Skill in verbal and written communication
  • Ability to provide exceptional customer service and build effective working relationships
  • Ability to develop creative employee engagement ideas and solutions
  • Knowledge of Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams
  • Ability to maintain confidentiality and exercise sound judgment
  • Skill in attention to detail and problem-solving
  • Ability to work independently and collaboratively in a fast-paced environment
  • Knowledge of vendor coordination, event logistics, and budget tracking
  • Ability to travel 25% of the time
  • Ability to commute with personal transportation.

PHYSICAL REQUIREMENTS:  

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.  Ability to exert light physical effort in sedentary to light work, which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (up to 20 pounds).
