Overview

SUMMARY:

Provides administrative and project support to the Scientific, Medical, Technical (SMT) division performing routine and advanced administrative and project-based duties.

Responsibilities

ESSENTIAL FUNCTIONS:

  • Research, compile and summarize a variety of information to prepare periodic reports and various documents as needed
  • Assists and leads ad-hoc projects and initiatives; Supports Medical Director on projects as needed
  • Assists with budget preparation and weekly/monthly review for SMT division
  • Conducts TMS patient pre-certification to ensure coverage for appointments and medical care, schedules appointments and provides next day appointment schedules to all MDs and Clinics
  • Acts as liaison between clinics and physician practices to ensure all patient records are in order
  • Creates training schedules and coordinates training rotations for Residents and Fellows in the Academic Center Program
  • Coordinates monthly AABB webinars for OneBlood employees and Hospital Partners and distributes information to attendees
  • Maintains inventory, supplies, and creates purchase orders for applicable departments
  • Oversees the division’s copying, record keeping, billing and filing management as assigned

Qualifications

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION AND/OR EXPERIENCE:

Associates Degree from an accredited college or university and two (2) years of prior administrative experience; or equivalent combination of education, training and/or experience.

KNOWLEDGE, ABILITIES AND SKILLS:

  • Ability to communicate and represent company in a professional manner
  • Ability to establish and maintain effective and cooperative working relationships
  • Ability to multi-task; strong organizational and time management skills
  • Ability to communicate effectively verbally and in writing
  • Ability to follow verbal and written instructions with a strong attention to detail
  • Ability to speak, write, read, and understand English
  • Proficient with Microsoft Office applications including internal company software applications
  • Bilingual preferred
  • Experience with Education and Training programs preferred
  • Experience with AdvancedMD or similar scheduling software preferred
